• Why is this a separate kit instead of part of patient intake?

  Intake captures clinical history; insurance verification captures financial-billing data and routes to a different team. Bundling them means the billing team sees clinical detail they should not, and the front desk sees billing detail that distracts from triage. Separating the flows respects role-based access, which is a HIPAA expectation.

• How does this prevent card images from ending up in email inboxes?

  The kit stores card images inside Jotform under your BAA. Notifications to the billing team contain no images and no member IDs - just 'new verification, click to view'. The recipient authenticates into Jotform to handle the verification. This pattern fails most often in practices that text card images between staff or attach them to emails - both of which the kit explicitly replaces.

• Does this work with Availity, Office Ally, or our clearinghouse?

  Yes via CSV export at the Base tier, webhook handoff at Pro, and real-time clearinghouse API integration at Done-For-You where supported. Most practices on Office Ally or Availity find webhook handoff is enough; high-volume billing operations step up to real-time API.

• What about secondary insurance and Medicare/Medicaid?

  The form branches to capture secondary insurance when the patient has it, with separate subscriber and group-number fields. Medicare and Medicaid follow the same capture pattern with the appropriate ID types. The structured export distinguishes primary vs secondary so the billing tool processes them in the right order.

• Can patients upload their card from a phone?

  Yes. The kit is mobile-first, with auto-rotation, crop hints, and a re-take option if the upload is blurry. Most patients complete the upload from their phone in under two minutes. Front-desk staff can also capture cards on a tablet during check-in if the patient prefers.

• How is this different from hiring a generic Jotform freelancer?

  A generic freelancer will build the form. A Jotform HIPAA expert who has shipped insurance verification before knows that card images cannot ride email attachments, that role-based access between front desk and billing is a HIPAA control, that the clearinghouse needs its own BAA, and that audit trails matter for payer disputes.
