What Jotform actually does
Jotform is, at its core, a drag-and-drop form builder. You start from a blank form or one of thousands of templates, add fields, set up conditional logic, and publish the form to a URL or embed it in your site. Submissions land in Jotform Tables (a built-in spreadsheet view), get emailed to you, and can be forwarded to any connected tool via native integrations or webhooks.

What Jotform is not
Jotform is not a survey platform in the SurveyMonkey sense. It has no built-in branching analytics dashboards or statistical reporting. It is also not a CRM. Submissions land in Tables but there is no contact-level history or pipeline view. And it is not a workflow automation platform the way Zapier or Make are. Jotform has its own basic workflow builder (Jotform Workflows), but for complex multi-step automation you still need an external tool.
Who uses Jotform
The user base is broad. Healthcare practices use it for HIPAA-compliant patient intake. Nonprofits use it for event registration and donation forms. Small businesses use it for lead capture and order forms. Schools and camps use it for permission slips, registration, and payment collection. Jotform's low floor (you can be collecting submissions in 10 minutes) and wide ceiling (conditional logic, payment processing, approval chains, API access) make it work across all of those.
Where Jotform falls short
The builder is deep but not polished. Conditional logic for large forms gets unwieldy fast: there is no visual branching diagram, just a flat list of rules. The UI has accumulated features over 20 years and it shows. Settings are scattered across tabs, and the difference between Jotform Tables and Jotform Inbox is confusing until you have used both for a while. Customer support on lower-tier plans is slow. And if your form has more than 40 fields, the problem is usually not the form tool; the process itself needs redesigning.
Jotform vs the alternatives
Google Forms is free with no logic limits but has almost no design flexibility and no native payment processing. Typeform is more polished for conversational forms but expensive for high submission volume. Microsoft Forms is tight inside the Microsoft 365 ecosystem and weak outside it. Fillout is a newer challenger with better UX but fewer integrations. Jotform's advantage is breadth: more field types, more integrations, more plan levels, and a longer track record than any of them.

Is Jotform free to use?
Yes. The Starter plan is permanently free. It supports 5 forms, 100 submissions per month, and 100 MB of upload storage. It works for testing or a single low-traffic form. The limits are real: once you hit 100 submissions for the month, the form stops accepting new ones until the next billing cycle.
What is Jotform used for?
The most common uses are patient intake forms (healthcare), event registration (nonprofits, schools, camps), lead capture (small businesses), payment order forms (services and ecommerce), and internal approval workflows. Jotform's broad feature set means it gets used for almost anything that requires collecting structured data from people.
Is Jotform HIPAA compliant?
Jotform's Gold plan and Enterprise plan include a Business Associate Agreement (BAA), which is required for HIPAA compliance. The free plan and Bronze/Silver plans do not include a BAA and should not be used for protected health information. HIPAA compliance requires the plan, the BAA, and correct form setup. It is not automatic.
Is Jotform safe and secure?
Jotform uses SSL/TLS for all form submissions, stores data on AWS infrastructure, and offers 256-bit AES encryption for form data at rest. For sensitive data (healthcare, financial), the Gold or Enterprise plan with a BAA gives you additional security controls. As with any cloud service, read the data processing terms and confirm they meet your compliance requirements.
